Order and cancel cards in a secure manner, as well as view or download a complete list of all your cards and their individual details, including: Live cards, stopped cards, vehicle registration/driver name, and expiry date.
View current and previous invoices (stored for six years) as Adobe PDF files at the click of a button, and you can even view un-invoiced transactions.
Are you confident in your companies mileage reporting?
Yes? Well, so were over 2,400 other firms Her Majesties Revenue & Customs visited - 39% were found inadequate.
Now, 60,000 UK companies should be expecting an HMRC visit, as it cracks down to rake in, £120 million in revenues...
Your businesses mileage reports must be totally accurate. Any problem will inevitably mean doubts about all other areas of reporting. HMRC can make a request to see everything, even up to four years or records. At best this will lead to major disruption. At worst, fines can and do reach into the many hundreds of thousands of pounds.
You can avoid this with clear and accurate business and private, mileage records. You won't find a simpler, smarter way than MileageCount, a new web based and mobile application for recording all your drivers and fleet related information.
Customers using our Shell fuelcards will find linking mileage recording to fuel usage seamless.
eBilling allows you to receive your invoices and statements direct to your email address as soon as they are produced, therefore avoiding delays in the post. Your invoices and statements are sent to you in a widely acceptable electronic file format (PDF). This file format, once converted cannot be manipulated and therefore is acceptable for VAT and Inland Revenue purposes. You should advise your local tax office if you intend to change to eBilling using the template document supplied.
Through regular contact with our customers and following a review of questionnaires, it became clear that one of the major concerns of our customers was the possibility of card fraud and the significant effect it could have on their business.
In response to this we have introduced a service called Card Protect. This service is designed to give you peace of mind when it comes to the security of your fuel cards. How it works:
1. All your cards are included in this new service.
2. The cost of the service is £1 per card per month. You can choose to opt out of this service.
3. The service covers you for losses of up to 5,000 litres on your account.
4. When the card has been lost or stolen, contact us with the relevant details of the card.
5. To report loss/theft, please use eServices. Alternatively during office hours report its loss/theft by phone.
6. All transactions from this point will no longer be your liability.
7. You or your employees void this service if there is evidence of internal fraud or collusion.
For some time many large to medium size businesses have been required by law to report carbon related emissions and develop carbon reduction strategies, as part of the UK Government and EU legislation commitments to reduce carbon based emissions. It now looks increasingly likely that mandatory reporting at lower business consumption use may become a requirement as it is already for certain sectors of Industry. Many of our existing fleet customers have been seeking advice/help in order to provide reporting on their carbon use, mainly because their own customers have asked for reporting and have been unsure what to report and how.
Understanding the science of climate change, the latest legislation and the development of carbon industry standards are all crucial to making informed decisions about carbon reduction plans. In order to assist our customers we have developed a new service, CO2Count. We as a Company, along with this service, are currently undergoing registration and accreditation to ISO50001 Energy Management with SGS, which we believe will be completed during 2012.
The CO2Count Service consists of a certificate, sent by email shortly after the fuel purchase invoice, advising the customer of the amount of CO2 and other Greenhouse Gases generated by their fleet during the invoice period. The certificate is generated using the latest data conversion factors supplied by the relevant Government web site. This will facilitate the customer's own carbon monitoring program and allow identification of areas of inefficiency.
This service is provided via our free eServices reporting suite. It will allow you to obtain all the required Greenhouse Gases/emission breakdowns at transactional level for fuels as well.
